Coordinator, Accounts Receivable, Payroll and Human Resources Accounting department

The Cal Alumni Association is seeking a fulltime accounting coordinator that is responsible for processing accounts receivables, semi-monthly payroll, and providing administrative support to our Human Resources department. If you’ve enjoyed working in a small company wearing many hats, this might be the job for you.
We are seeking detail-oriented candidates with payroll and account receivable accounting work experience. The accounts receivable responsibilities include but are not limited to the daily processing of incoming checks; maintaining the Accounts Receivable sub-ledger; preparing bank deposits, cash receipts and A/R journal entries; and preparing reports. The payroll responsibilities include but are not limited to managing the semi-monthly payroll process using ADP; communicating all payroll-related information to CAA employees; preparing reports and payroll journal entries; and completing payroll reconciliations. The human resources responsibilities include but are not limited to administering our employee benefit plans in collaboration with Director, Human Resources.
SUPERVISION: Reports to the Accounting Director
REQUIRED QUALIFICATIONS: •Bachelor’s degree •Two years of payroll experience and/or two years of accounts receivable experience using computers and accounting software •Strong computer skills including using a payroll and/or accounting software program, MS Excel, Access, and Word •Working knowledge of payroll and employment laws and regulations •Proven ability to handle confidential information and act with discretion in all matters •Working knowledge and understanding of accounting principles and terminology •Must have excellent attention to detail and be highly organized •Strong analytical abilities; the ability to create and improve processes •Good written, prioritization, and interpersonal skills
PREFERRED QUALIFICATIONS: • Certificate in accounting and/or payroll • Experience using ADP • Experience using Blackbaud’s Financial Edge • Knowledge and familiarity of the University of California, Berkeley, and the Cal campus

FULL DESCRIPTION: The Accounting Department is responsible for ensuring the accuracy of financial results, and providing timely financial information in support of the entire Association.
ACCOUNTS RECEIVABLES RESPONSIBILITIES: • Prepares and posts cash receipt deposit slips, including Membership and Accounts Receivable cash receipts. • Responsible for Accounts Receivable, including preparing and posting invoices and payments. • Prepares monthly A/R reports for the Accounting Department and other departments with A/R balances. • Assists in monthly journal close schedule. • Completes company sales tax returns. • Audits weekly Lair of the Bear cash reports and creates any needed miscellaneous cash deposits. • Uses Accounting software as well as MS Office programs to create reports and journal entries. • Assists with documentation of Accounting Department procedures and policies. Assist with educating other CAA staff of Accounting procedures and policies. • Supports Accounting Director and Senior Staff Accountant. • Performs miscellaneous duties in accounting department, and other duties as assigned.
PAYROLL RESPONSIBILITIES: • Run semi-monthly payroll. Includes collecting and proofreading all timesheets for accuracy and compliance with state and federal payroll laws; creating spreadsheets of payroll information; ensuring that data is accurately entered into ADP; verifying payroll accuracy in Payroll Preview; and submitting Preview to Accounting Director and/or CFO for approval. • Oversee creation of payroll schedule each year. Schedule bonus or additional payrolls as needed. • Create and maintain timesheets for exempt, non-exempt and student employees. • Insure that all timesheet records are complete and up-to-date. • Communicate all payroll-related information to CAA employees, including semi-monthly timesheet deadlines and monthly birthday/anniversary announcements. • Provide employees with correct forms to authorize deductions and make changes in tax status or address. Update employee information in ADP as needed. • Send reports each month to all timesheet-signing supervisors, indicating employee balances that are low and employees that are not yet eligible to use their paid time off. • Produce ADP reports using ADP Reporting as needed. Provide HR department and CFO with needed payroll information upon request. • Submit monthly and semi-monthly check requests to AP for 403(b), garnishment and any other relevant payroll deductions. • Prepare monthly payroll journal entries. • Reconcile all payroll deductions to their corresponding AP payments quarterly. • Prepare all data for annual State Comp audit (July). • Insure accuracy of all payroll records before each year end (November-December). • Prepare payroll- related documents and reconciliations for annual audit (January-February). • Serve as primary contact for ADP. • Research and respond to payroll questions and issues. • Back up other accounting positions as needed. • Other duties as assigned.
HUMAN RESOURCES RESPONSIBILITIES: • Administer all routine benefits processes including enrollments, terminations, reconciliations, invoices, documentation, filing, and working with our Broker as needed; provide administrative support during annual open enrollment cycles • Prepare all new hire and termination packets; Process and file required documentation for new hires and terminations • Administer the student work-study reimbursement program
