Event Services Coordinator Alumni House, UC Berkeley

The Cal Alumni Association (CAA) is looking for an outstanding event services coordinator who has initiative and great interpersonal skills. The coordinator will serve clients who rent our unique facility – the Alumni House. We are looking for an exceptional candidate that will assist in achieving revenue targets and delivering a net profit for the department. Our top candidate will possess a combination of event management, customer service, catering and some supervisory experience. The position will report to the Manager, Facilities and Event Services.

REQUIRED QUALIFICATIONS: Bachelor's degree Experience in the hospitality/hotel industry and/or facilities management Excellent customer service, organizational, prioritization, interpersonal, written and verbal communication skills Experience in event planning and management Flexibility to work evening and weekend events Experience working with EMS software or similar event-management software Excellent computer skills in word processing, e-mail, calendar, and spreadsheet applications Must be able to lift, push and pull up to 40 pounds
PREFERRED QUALIFICATIONS: Experience hiring and supervising a diverse staff Knowledge of OSHA standards, compliance requirements Knowledge of the Cal Alumni Association and of UC Berkeley Knowledge of general UCB campus policies and protocols
SUMMARY OF RESPONSIBILITIES: Point of contact for all events held at Alumni House Coordinate and schedule all room reservations Assist clients to meet their catering, set-up/clean-up and audio/visual needs Solicit, schedule, and prepare estimates for rental clients; ensure clients are billed, and pursue delinquent accounts Assist with recruiting, hiring, training, scheduling and overseeing a team of about 10 event assistants Adhere to the annual departmental budget and meet revenue targets Assist with continental catering services to clients, purchasing food and supplies as needed Consider guests with disabilities when planning and assisting events Train employees on proper emergency preparedness and response Support internal events and campus-wide events that CAA is co-sponsoring Other duties as assigned
Salary & Benefits: This is a full-time position working 30/hours per week. Salary range will be commensurate with job duties and experience.
