Accounting Clerk

The Cal Alumni Association is seeking and experienced Accounting Clerk. The Accounting Department is responsible for ensuring the accuracy of financial transactions, and for providing timely financial information in support of the entire Association. The Accounting Clerk is responsible for the processing and recording of Accounts Payable, Accounts Receivable, and Cash Receipts in accordance with department procedures.

SUPERVISOR: Reports to the Accounting Manager.

Accounts Payable

  • Data entry of invoices, check requests, and reimbursements into Blackbaud Financial Edge accounting system. Ensure accuracy of vendor, transaction dates, account code, posting date, and amount entered.

  • Process CAA staff corporate card accounts for reconciliation and payment.

  • Maintain employee parking permits for annual renewals, and payment reconciliation.


  • Maintain organized accounts payable/vendor files.

  • Assist with preparation of annual Form 1099’s for independent contractors.

  • Prepare check run for mailing and distribution.

  • Other duties as assigned.

Accounts Receivable

Process departmental invoice requests for facility rentals, travel programs, Cal magazine advertisements, etc., provide for data entry into Blackbaud Financial Edge accounting system, generate and distribute invoices to customers.

Respond to customer inquiries and correspond, as necessary, with CAA departmental staff.

Record payments received against customer accounts in subsidiary ledger.


Cash Receipts


  • Process miscellaneous credit card payments, for facility rentals, travel programs, etc.

  • Provide for data entry of all bank deposits, electronic fund transfers, and departmental credit card transactions into Blackbaud Financial Edge accounting system. Ensure accuracy of transaction dates, accounting period, and amounts entered.

  • Assist with cash receipts preparation by retrieving data from merchant processing websites.

  • Retrieve daily cash, check, and credit card batches from Membership Dept.

  • Ensure all checks and cash received are recorded in daily Check Log and transferred to Controller for secure storage in office safe.

  • Assist with collections of outstanding or past due customer accounts.

Required Qualifications: 
  • Minimum A.A. degree in Accounting or business related field.

  • Working knowledge and understanding of Generally Accepted Accounting Principles (GAAP).

  • Accounts Payable/Accounts Receivable experience using computers and accounting software.

  • Strong work ethic, well organized with excellent attention to detail. Ability to work efficiently, multitask, and meet deadlines.

  • Good written skills; strong interpersonal skills; regular and punctual attendance is critical.

  • Strong computer skills, including using accounting software programs, Excel, Word, and Google applications.

  • Able to interact effectively with diverse groups of people.

  • Ability to manage and prioritize projects under difficult time constraints.

  • Professional demeanor, conduct, performance and appearance are a must.

  • Ability and willingness to work occasional evenings and weekends to support CAA and Campus-wide events in addition to assigned work-shift.

  • Must submit to and pass Consumer Report and FBI/DOB fingerprint background investigations.

  • Must possess valid CA driver’s license and clean driving record.

Preferred Qualifications: 
  • Knowledge and familiarity of the University of California, Berkeley, and the Cal campus.

  • Not-for-profit and fund accounting experience.

  • Experience using Blackbaud’s Financial Edge accounting software.

Salary and Benefits: 

This position is classified as an at-will, full-time, non-exempt position. Pay range will be between $19-20.60 per hour ($37,000-40,000 annualized) and is eligible to participate in company sponsored benefits.
