Student Assistant, Alumni Engagement (Berkeley, CA)

The Cal Alumni Association (CAA) is seeking an enthusiastic and experienced student to maintain and support departmental data entry, office organization, day‐to‐day office work,  and overall support for the CAA Alumni Engagement - Events and The Berkeley Network Departments. The student should have considerable experience in Excel and a great attention to detail, as well as be excited about engagement with co-workers and Cal alumni of all ages and backgrounds. Other duties will include assisting in various stages of event planning, and marketing support for CAA events, including but not limited to Cal Basketball pre-game Hoops Parties, Cal Football tailgates, The Berkeley Network events, alumni chapter events,  Homecoming, and other alumni events. This job involves considerable data entry and analysis, so the applicant should be comfortable with several hours a week in front of the computer. 

Hours: 10-12 hours per week during the semester, very flexible around class schedule 

Location: Alumni House on the UC Berkeley campus

Pay Rate: $17.00 per hour, work‐study preferred but not required

COVID-19 temporary adjustments: The Cal Alumni Association is preparing for our return to the office in advance of the fall semester. Staff will be expected to work a hybrid schedule, with some jobs required to work onsite a majority of the time depending on job duties. Staff will be required to take a COVID test on campus through University Health Services, and provide proof of COVID vaccine or request a disability, medical or sincerely held religious belief exception.

  • Data entry including coding of chapter members, volunteers, and event attendees into UC Berkeley’s Cal Advancement Database System (CADS)

  • Look up alumni in CADS and update records

  • Provide event marketing support, including updating the public‐facing CAA website, and writing and editing marketing copy 

  • Create events in the Berkeley Events Calendar 

  • Update the alumni chapter database and volunteer database

  • Assist with event preparation (name tags, decorations), and with post‐event task management

  • Maintain inventory and organization of event supplies 

  • Assist with phone calls, emails and mailings to event attendees

  • Work at events when applicable and available, including occasional nights and weekends 

  • Assist with physical event setups and and tear-down

  • Provide ongoing support to Alumni Engagement department

  • Perform other duties as assigned 

Required Qualifications: 
  • Excellent oral/written communication, interpersonal, and organizational skills 

  • Demonstrated attention to detail   

  • Ability to maintain confidentiality and work with sensitive data

  • Previous office or administrative work experience  

  • Ability to follow verbal and written instructions, work independently, and be self-directed and assertive

  • Competency using MS Word, Excel, Gmail, Google Drive, Eventbrite, Facebook, and the Internet

  • Ability to interact with people of all ages including staff, students, volunteers, and alumni 

  • Enthusiastic and outgoing attitude 

  • Able to lift boxes of 50 pounds and willing to move equipment and supplies around campus

  • Must submit to and pass Consumer and Motor Vehicle reports, and FBI/DOJ fingerprint background investigations. Must possess valid CA driver’s license

Preferred Qualifications: 
  • CADS database knowledge 

  • Work Study Eligible
