Travel Coordinator

The CAL ALUMNI ASSOCIATION (CAA) provides Cal graduates with rewarding connections to the University, to fellow alumni, and to current students. Founded by the original graduates of the University of California in 1972, CAA today represents nearly half a million alumni living throughout the world. With a mission of advancing and promoting the interests of the University, CAA is committed to providing essential programs and services designed to keep alumni of all ages and interests connected to the University and to each other. The Cal Discoveries Travel Program is one of these programs and has been serving alumni and friends of Cal since 1974. Cal Discoveries Travel plans educational group trips throughout the world.  

Summary:

CAA is seeking an outstanding person to assist with customer service, reservation processing, day-to-day office work, data entry, and organization. The top candidate will provide internal administrative support to all aspects of our travel program with a focus on the administration of the trips we run with wholesale tour operators, including front line customer service, travel database management, and preparing mailings.

Supervision: The Travel Coordinator position reports to the Assistant Director, Cal Discoveries.

 
Responsibilities: 
  • Answer phones and provide customer service to travelers calling about trips

  • Assist with passenger correspondence: confirmation notifications, final documents, fulfill brochure requests, trip evaluations, promotion of trips to travel prospects, and mailing to advance trip registrants

  • Maintain accuracy and integrity of database: data entry of reservations, brochure requests, tour components, inventory, etc.

  • Enter and update traveler, tour, and vendor files in Via Tour (travel software program)

  • Support program events and pre-departure calls

  • Provide administrative support to all Cal Discoveries programs

  • Code past travelers in CADS (Campus Database)

  • Verify CAA membership status

  • Be able to serve as travel manager on one Cal Discoveries trip per year, if needed (out of the office for up to 10 days)  

  • Perform other duties as assigned

Required Qualifications: 
  • 1-2 years education and/or experience with data entry and customer service

  • Proven to have strong attention to detail and organizational skills

  • Excellent customer service and communication skills on the phone and in person

  • Excellent telephone etiquette with clear, precise communication skills

  • Professional demeanor, conduct, performance and appearance are a must

  • Accurate and detailed data entry skills with the ability to input a consistent large volume of data entry with a high degree of accuracy

  • Ability to work with confidential and sensitive information

  • Ability to prioritize and perform multiple activities and projects concurrently

  • Ability to learn and adapt quickly and to work cooperatively; strong interpersonal skills

  • Excellent computer skills using Microsoft Office and Google Drive applications, including Word, Excel, PowerPoint, and Google Docs, Sheets, Calendar and Slides

  • Ability to interact effectively and enthusiastically with diverse groups

  • Ability to travel internationally

  • Ability and willingness to work occasional evenings and weekends to support CAA and Campus-wide events in addition to assigned work-shift

  • Ability to learn and use UC Berkeley’s CADS database

  • Must submit to and pass Consumer Report and FBI/DOJ fingerprint background investigations

  • Must possess valid CA driver’s license and acceptable driving record

Preferred Qualifications: 
  • College graduate

  • UC Berkeley alumnus/a

  • Customer service experience

  • Experience with CRM (customer relationship management) technologies, preferably CADS (Cal Advancement Data System)

  • Familiarity with UC Berkeley and/or the Cal Alumni Association

Salary and Benefits: 

SALARY AND CLASSIFICATION:  This position is classified as an at-will, full-time, non-exempt. Pay range will be between $20-21 per hour and is eligible to participate in company sponsored benefits.
