Controller

The Cal Alumni Association (CAA) is seeking a Controller to play a key role in managing our accounting operations, collaborating closely with the Executive Director, CAA Board, and department managers. We are seeking an experienced, senior-level accounting professional who can manage the accounting team, oversee the relationship and compliance with the external audit firm, and provide timely and accurate monthly reports.

Founded by University of California Berkeley alumni in 1872, CAA is one of the most respected alumni associations in the nation, representing a global network of more than a half million UC Berkeley graduates. CAA is a membership-based, independent 501(c)(3) organization governed by a Board of Directors comprised of alumni volunteers. While closely partnering with and with a mission of supporting UC Berkeley, CAA operates independently from the university. CAA is a long-standing, financially stable, self-funded, nonprofit organization with a $17M operating budget, two locations, seven revenue-generating business units, and has multi-million dollar assets and reserves. In compliance with state and federal regulations, we complete a thorough financial audit and file a Form 990 annually. 

Reporting directly to the Executive Director, the Controller oversees the CAA accounting department and manages the day-to-day accounting operations and compliance. The Controller is ultimately responsible for ensuring the integrity of CAA’s internal controls and accuracy of the financial data. CAA uses accrual-based accounting. As of June 2024, the department has 3.5 FTEs.

Supervision: This position reports to the Executive Director, with strong coordination with the CAA Board VP Finance and Finance Committee.

Responsibilities

  • Ensure regulatory and GAAP standards compliance required of all accounting and financial reporting functions. Adhere to internal IT policies, accounting controls, and payroll requirements. Communicate accounting policies to CAA staff.
  • Oversee all aspects of the general accounting day-to-day operations. Manage the accounting department staff, provide task assignments with clear deadlines, and train as needed. Complete required employee performance reviews.
  • Provide timely monthly reports to the Executive Director, department managers, and Board Finance and Audit Committees.
  • Coordinate annual audit for financial statements, Form 990 filing, internal controls and external reporting. 
  • Oversee semi-monthly payroll and ensure payroll accuracy. Work closely with the Human Resources department on payroll compliance changes and staff onboarding and offboarding. 
  • In collaboration with the senior management team, develop CAA’s annual budgets and forecasts.
  • Oversee cash flow planning and ensure availability of funds. 
  • Provide financial oversight of CAA’s investment portfolio, scholarship endowment programs, and fundraising.
  • Treasury and cash management including cash, asset, and investment reporting. Oversee cash management, investment management, and asset management. 
  • Manage and maintain relationships with auditors, bankers, investment managers, actuarial consultants, insurance brokers, and government agencies.
  • Remain up to date on nonprofit audit best practices and state and federal laws regarding nonprofit operations. 
  • Contribute toward CAA’s overall success by participating as a member of the senior management team in the development, implementation, and oversight of organization-wide accounting policies and procedures.
  • Identify and implement policy and accounting system process improvements.
  • Ensure timeliness, accuracy, and usefulness of financial and management reporting. 
  • Ensure documentation, implementation, and adherence of accounting, internal controls, and contract management policies and procedures. 
  • Manage business insurance policies, renewals, and any claims.
  • Educate CAA staff on accounting and payroll policies and procedures.
  • Other duties as assigned.

Required Qualifications

  • Professional financial certification such as CPA or CMA highly preferred
  • 10+ years of financial, treasury, accounting, and strategic management experience, with demonstrated increased responsibility over career. Nonprofit industry experience highly preferred. 
  • 5+ years of experience at a senior managerial level in a $10+million organization.
  • Bachelor’s degree with emphasis in accounting, business administration, and/or finance, or related field. 
  • Advanced Microsoft Excel skills, including Visual Basic knowledge, and Google Sheets
  • Expertise in QuickBooks and Intuit payments. Ability to manage and willingness to learn CAA’s accounting and other finance-related software platforms. Experience with Google Workspace, AvidXchange, and Authorize.net is a plus.
  • Excellent verbal and written communication skills
  • Excellent internal customer service skills, with the ability to build relationships and trust with all staff. 
  • Strong background and ability to effect systems change/process improvement in a multi-faceted small business environment. 
  • Ability to work a flexible schedule to meet critical deadlines, and cover staff out sick or on vacation.
  • Ability to successfully take on multiple projects and challenges through completion. 
  • Must have excellent personal credit history.
  • Must pass verifications, credit, motor vehicle report, and FBI/DOJ criminal background checks.

Salary and Benefits

This is a full-time, exempt position, with an annual salary of $150,000-$185,000. CAA offers generous healthcare benefits, 403(b) plan with a company match, and generous vacation and holiday paid time off. CAA staff, while not University of California employees, are also eligible for many UC Berkeley professional development and staff programs, as well as discounts.
