Senior Accounting Clerk

The Cal Alumni Association (CAA) is seeking a Senior Accounting Clerk. The Senior Accounting Clerk is responsible for the processing and recording of Accounts Payable and Accounts Receivable. CAA is a long-standing, financially stable, self-funded, nonprofit organization with a $17M operating budget, two locations, seven revenue-generating business units, and has multi-million dollar assets and reserves. We also complete a thorough financial audit and file a Form 990 annually. While closely partnering with and with a mission of supporting the University of California, Berkeley, CAA operates independently from the university. 

Responsibilities

Accounts Payable (AP)

  • Review and upload invoices and check requests into AvidXchange.  Ensure accuracy of vendor data, transaction date, account code, amount, and appropriate supervisor approval.
  • Prepare import of invoice batches to the accounting system.
  • Prepare AvidPay batches for invoice payments and assign check numbers from accounting software.
  • Ensure Form W-9 completed for all vendors.
  • Assist with preparation of annual Form 1099 filing for contractor payments.
  • Facilitate payment of staff reimbursements via Expensify with appropriate supervisor approval.
  • Maintain organized accounts payable/vendor digital filing system.
  • Timely inform supervisor of issues, problems, or errors in AP transactions.

Accounts Receivable (AR)

  • Prepare invoices for CAA departments (facility rentals, travel programs, Cal magazine advertisements, etc.), generate and distribute invoices to customers.
  • Respond to customer inquiries and correspond, as necessary, with CAA departmental staff.
  • Facilitate credit card payments via accounting software.
  • Assist with collections of outstanding or past due customer accounts.
  • Timely Inform supervisor of issues, problems, or errors in AR transactions.

Accounting

  • Process CAA staff corporate card accounts for reconciliation via Expensify software and prepare the monthly journal entry for upload to accounting software.
  • Assist in monthly closing of all subsidiary and general ledger accounts as assigned.
  • Assist with responding to Accounting Department email inquiries.
  • Assist with documentation of Accounting Department policies and procedures.
  • Assist with preparation for an annual financial audit by an independent CPA firm.
  • Other duties as assigned.

Required Qualifications

  • Working knowledge and understanding of Generally Accepted Accounting Principles (GAAP). 
  • Accounts Payable/Accounts Receivable experience using computers and accounting software. 
  • Ability to manage and prioritize projects. Well organized with excellent attention to detail. 
  • Ability to work efficiently, multitask, and meet deadlines.
  • Good written skills; strong interpersonal skills. 
  • Strong computer skills, including using accounting software programs, and Microsoft and Google applications, especially Excel. 
  • Ability to interact effectively with diverse groups of people. Professional demeanor, conduct, and performance are a must. 
  • Ability to work with and maintain confidential and sensitive information. 
  • Ability and willingness to work occasional evenings and weekends to support CAA and Campus-wide events as needed.
  • Must submit to and pass Consumer Report and FBI/DOB fingerprint background investigations.

Preferred Qualifications

  • Experience using QuickBooks or other accounting software packages.
  • Not-for-profit and fund accounting experience.
  • Knowledge and familiarity of the University of California, Berkeley, and the Cal campus.

Salary and Benefits

The pay range is $31-$36 per hour ($60,450 – $79,200 annualized). This position is classified as an at-will, full-time, non-exempt position, working 37.5 hours per week.
