Senior Director, Facilities and Hospitality
The Cal Alumni Association (CAA) is looking for a Senior Director, Facilities and Hospitality professional who can achieve revenue targets, and has a well-rounded background in event management, marketing, customer service, facilities management, and team leadership—all while embodying an Unreasonable Hospitality mindset to provide an unparalleled guest experience. The ideal candidate will have exceptional interpersonal skills to market our unique venue to prospective clients and ensure a seamless rental experience, and project management skills to oversee the aesthetic and functional maintenance of Alumni House.
The Senior Director, Facilities and Hospitality is a multi-dimensional operational management position, combining leadership in event management, facility operations, budgeting, health and safety compliance, and stakeholder collaboration. It’s not a siloed role—it requires multitasking, consistent adaptability, and cross-functional collaboration across all internal departments including HR, IT, Marketing, and a variety of UC Berkeley campus operations and Emergency Preparedness teams.

The Alumni House is located on the University of California, Berkeley campus, and complies with applicable UC Berkeley safety, security, facility, event, and emergency preparedness policies. CAA staff are not University of California employees; however, we are eligible to access and participate in many UC Berkeley resources and programs. Responsibilities
General Management
- Develop and execute a business operating plan for the Facilities and Rentals operations.
- Develop and manage the annual departmental budget, and meet net revenue targets.
- Prepare management reports, analysis, and financial forecasts.
- Supervise and coach the facilities and event staff; oversee student Event Assistants.
- Other duties as assigned.
Event Management
- Develop, execute, and analyze the effectiveness of the Alumni House rentals marketing plan in partnership with the CAA Marketing and Communication team.
- Oversee the event scheduling application to continually improve operational efficiency and guest experience.
- Ensure rental prices, policies and services are consistent with the current market.
- Ensure catering prices, policies and services are consistent with the current market rates.
- Document and maintain scheduling, estimates, and invoicing policies and processes.
- Consult and support internal CAA events.
- Manage all aspects of internal staff appreciation events including seasonal staff parties, on-boarding and departure celebrations, and ad hoc staff celebrations and retreats.
- Support campus-wide events that CAA is sponsoring, as directed.
- Participate in bCampus Event Group professional network meetings to stay informed of applicable campus policies, protocols, and event resources.
- Assist clients to meet their event needs.
- Maintain Food Handler Certification
- Purchase food, supplies, and equipment as needed.
Comprehensive Alumni House Facilities Oversight
- Develop plans and oversee infrastructure projects, such as upgrades, office moves, facility repair and construction.
- Responsible for the overall appearance, maintenance, and infrastructure of Alumni House.
- Oversee the maintenance of office supply and storage areas within Alumni House consulting with CAA departments on their storage management needs.
- Oversee the offsite storage unit (Public Storage).
- Manage our off-site storage needs at Iron Mountain.
- Oversee the maintenance of furniture, building equipment, infrastructure, and vehicle maintenance. Identify consultants, contractors, vendors, and supply sources; Solicit, review, and negotiate bids and contracts; purchase supplies, services, equipment, and furniture, delegating as appropriate.
- Manage UC Berkeley invoices for all Alumni House utilities.
- Develop and maintain policies and standard operating procedures. Disseminate changes in policies and projects that affect staff and/or visitors.
- Recommend and oversee Alumni House capital improvements.
Safety and Security
- Must respond to all Alumni House events and facilities emergencies.
- Primary contact and liaison for UC Berkeley Physical Plant facilities maintenance office.
- Primary contact and liaison for emergency notifications and the UCB Office of Emergency Preparedness.
- Lead CAA staff training on emergency preparedness topics, including semi-annual safety drills.
- Maintain compliance with Cal OSHA, Fire Marshal, and UC Berkeley building safety and accessibility requirements.
- Participate in the UC Berkeley campus-led Building Coordinator meetings.
- Facilitate staff ergonomics and accessibility requests; partner with the CAA Human Resources and IT departments to address ergonomics issues and workers compensation claims.
Required Qualifications
- Bachelor’s degree
- Experience in the hospitality industry with facilities management experience
- Excellent organizational, interpersonal, written and verbal communication skills, with an Unreasonable Hospitality mindset
- Experience in event management and planning
- Flexibility to work evenings and weekends
- Leadership and staff supervision experience including hiring, supervising, and coaching a diverse team, including Event Assistants who are Cal students
- Vendor and contract management experience including vetting, hiring, and directing contractors with trade skills such as plumbers, electricians, carpenters, general construction, and audio-visual technologies.
- Knowledge of OSHA standards, compliance, and reporting requirements.
- Tech and systems fluency including event scheduling applications, Google Workplace applications, spreadsheets, slide decks; Ability to extract and analyze data, and prepare management reports.
- Financial acumen including experience developing and managing a $500k+ budget, forecasting, and invoicing
- Ability to thrive in a fast moving environment, requiring strong time management skills, and the ability to stay organized, prioritize, and delegate.
- Must be able to lift, push, and pull 40 pounds.
- Must submit to and pass Consumer Report Investigation and FBI/DOJ fingerprint background checks.
Preferred Qualifications
- Administrative experience in physical planning and construction
- Emergency preparedness and safety compliance experience
- Knowledge of general UCB campus policies and protocols
- Knowledge of UC Berkeley Physical Plant policies and processes
Salary and Benefits
This is a full-time, exempt position with benefits.The salary range is $100,000-$135,000 annualized. The position is located on the UC Berkeley campus, in Berkeley, CA, and is eligible to participate in healthcare benefits, a retirement plan with company match, and vacation and holiday time-off. CAA staff are not University of California employees; however, we are eligible to access and participate in many UC Berkeley resources and programs.

COVID-19 Temporary Adjustments
