Coordinator, Pinecrest Operations

The Cal Alumni Association’s Lair of the Golden Bear Family Camp is seeking a team player to take the lead in coordinating the recruiting, hiring, and onboarding of our seasonal camp staff, and assist with our Lair retail business operations from product development through store design. The Coordinator is responsible for refining our camp programs, schedules, and activities, and assisting with implementing all pre-camp and in-camp staff training.

LOCATION:

The position reports to the Director of Operations, and is located in Pinecrest, CA, and will spend the summer months working and living at camp from May – September. The Coordinator may occasionally work remotely at other times of the year in line with job duties and business needs.

Responsibilities

Recruiting and Hiring 

  • Lead recruitment and outreach efforts for summer, winter, and science camp seasonal camp staff such as co-hosting campus informational sessions, joining staffer recruiting team at student clubs and groups meetings, attending college campus career fairs, online job postings, networking, etc.
  • Coordinate the interview process: track applicant data, schedule and coordinate interviews, document selection rubric and applicant scoring; participate on selection committee.
  • Coordinate the selection process, prepare ranking reports for management review, and assist management with job placements.
  • Communicate with applicants throughout the selection and hiring process.
  • Assist Human Resources with on-boarding and off-boarding of seasonal employees.
  • Coordinate the implementation of all pre-camp and in-camp staff training, and documentation.
  • Assist with developing seasonal staff work schedules and shift assignments.

 

Camp Operations

  • Assist with the development of camper schedules.
  • Research and refine summer and winter camp programming, activities, and schedules.
  • Manage program supplies: ordering, inventory, distribution, and expense budget.
  • Participate in weekly Lair management team meetings.
  • Cover duties of the Director of Operations when they are off-duty.
  • Other duties and special projects as assigned.

 

Lair Retail

  • Assist with developing the Lair retail product line (apparel, gifts, snacks and sundries), and with designing staff uniforms and end of summer staff gifts.
  • Manage product receiving, warehousing, inventory, and distribution of goods for resale.
  • Assist with the development, implementation, and maintenance of interior store design.
  • Coach retail store employees; assist with developing and implementing training; enforcing standards and policies; assist with customer service.
  • Oversee rental program communications, requests, and equipment distribution and reclaiming. 
  • Oversee communications between local business partners and Lair store staff.
  • Collect and document tips for staff and wellness contractors; coordinate documentation, depositing, and distribution of tips with the Accounting team.
  • Troubleshoot technical issues with retail software and hardware.
  • Track and solve issues with the retail operation; make recommendations for improvements.

Required Qualifications

  • Required certifications: First Aid and CPR
  • Must submit to Consumer, Motor Vehicle, and FBI/DOJ fingerprint background investigations.
  • Ability to work with confidential information and follow data security protocols.
  • Excellent written and oral communication, problem solving, and interpersonal skills.
  • Able to lift, push and pull up to 30 pounds.
  • 2 years experience in an administrative support role.
  • Hospitality or customer service industry experience.
  • Confident computer skills using PC, and Microsoft Office and Google Suite, especially Sheets.
  • Proactive with exceptional attention to detail, organized, and the ability to keep others organized.
  • Ability to prioritize, multi-task, be a team player, and thrive in a fast-paced, outdoor work environment is a must.
  • Prior experience participating in or working at an organized camp program preferred.

Salary and Benefits

This is a full-time, non-exempt job with a pay range of $23-25 per hour. Room and board are provided from May – September. This job is eligible to participate in healthcare benefits, a retirement plan with company match, and generous vacation and holiday time-off benefits. This position is classified as a CANRA mandated reporter required to report the observed or suspected abuse or neglect of children, dependent adults, or elders to designated law enforcement or social service agencies.

COVID-19 Temporary Adjustments

The Cal Alumni Association is preparing for our return to the office. Staff will be expected to work a hybrid schedule, with some jobs required to work onsite a majority of the time depending on job duties.
