Lair Reservations Coordinator (Pinecrest, CA)

The Lair of the Golden Bear is seeking a Lair Reservations Coordinator to provide excellent customer service to our campers, guests, and vendors, as well as administrative support to the collaborative team of Cal Alumni Association staff who help make the Lair magic happen every summer, and now year-round with the newly built cabins at Camp Oski. You’ll be a part of the Lair Reservations team, as well as provide housekeeping services and guest support to the year-round cabins. 

The Cal Alumni Association (CAA) is a mid-sized, dynamic, and multifaceted nonprofit organization committed to providing programs and services that keep Cal alumni of all ages and interests connected to UC Berkeley and to each other. Our programs include an award-winning magazine, our Lair of the Golden Bear Family Camp, scholarships, alumni career services, events, travel, and more.

This position is located on-site at the Lair of the Golden Bear in Pinecrest, CA. However, there may be a few occasions when you may need to work in Berkeley, CA depending on business needs.

Responsibilities

  • Provide onsite administrative and office support to the team in Pinecrest, collaborating with staff in our Berkeley office.
  • Provides onsite support and engages with students, teachers, and staff for Oski Science Camp, and other private groups who come to the Oski cabins outside of the summer season.
  • Support and/or is the lead on-site during Winter at the Lair weekends at Oski, welcoming guests and assisting with their needs.
  • Housekeeper for the Oski cabins during the non-summer months.
  • Provide outstanding customer service and a welcoming setting for campers, guests, vendors, and Lair staff.
  • Use the Lair’s online reservation system to retrieve information and provide customer service to those at camp.
  • Support various administrative responsibilities including assisting with camp reports including rosters, tent blockings, schedules, and other manager reports. 
  • Produce and submit Activity Reports.
  • Oversees Lost and Found, returning and mailing found items accordingly.
  • Assist with additional projects as needed.

Required Qualifications

This position requires an individual with excellent organizational skills and attention to detail; the ability to successfully manage multiple projects simultaneously; and to think quickly, reasonably, and calmly.  Must also possess outstanding customer service skills with a willingness to problem solve efficiently and pleasantly.

  • Excellent communications skills for phone, email, and in-person interactions.
  • Excellent and proven organizational skills, with attention to managing details.
  • Ability to work with confidential and sensitive information. 
  • Proven ability to work and communicate effectively with diverse groups and individuals toward common goals; understand various needs and maintain flexibility.
  • Ability to learn and use the Lair’s online reservations system to assist campers and the Lair Reservations team.  
  • Fluency with using Microsoft Office (including Word and Excel) and Google suite apps (including Google Sheets, Docs, Forms, Gmail, Google drive), and willingness and aptitude to learn software programs such as Avid Accounting, ADP payroll, and Workfront.
  • Provide customer service and assist as needed to support the team in the year-round Oski cabin reservations and programs.
  • Ability to perform multiple tasks and prioritize duties.
  • Strong interpersonal skills; regular and punctual attendance is critical.
  • Comfortable and accurate in a fast-paced, multitasking environment.
  • Ability to work as part of a team, sometimes working on projects outside of specific job duties.
  • Must submit to Consumer Report and FBI/DOJ fingerprint background investigations.
  • Must pass tuberculosis screening and have completed before the start date.
  • Must possess a valid CA driver’s license and acceptable driving record.

Preferred Qualifications

  • Familiarity with the Lair of the Bear, such as a current or past camper or staffer.
  • Familiarity with and a commitment to the mission of CAA.
  • Familiarity with UC Berkeley and the Cal Alumni Association.

Salary and Benefits

This position is classified as an at-will, non-exempt position working approximately 30 hours per week (80% FTE), and reports to the Senior Program Manager, Pinecrest Operations. Pay is $24 per hour and the position is eligible to participate in company-sponsored benefits. CAA offers a competitive benefits package, participation in a 403(b)with company match and generous prorated holiday pay. COVID-19 Temporary Adjustments

The Cal Alumni Association is preparing for our return to the office. Staff will be expected to work a hybrid schedule, with some jobs required to work onsite a majority of the time depending on job duties. Health Care Benefits:
